About the role
This is the ultimate "all-rounder" position perfect for someone who wants exposure across every corner of the business. You'll support both our operational and project teams, ensuring processes run efficiently and information flows smoothly.
Your main duties will be:
- Maintain Xero and support day-to-day finance: reconciliations, GST checks, invoicing and debtor follow-up, loading supplier payments, payroll checks, and cashflow support
- Monitor costs, investigate anomalies, and provide clear financial information to support decision-making
- Coordinate projects: run weekly project status meetings, compile updates on hours and spend, maintain project templates, chase missing information, and ensure project debriefs happen
- Check end-to-end project reporting to make sure information flows accurately and on time
- Keep the office running smoothly: manage supplies (stationery, kitchen, cleaning), organise minor tidy-ups, and coordinate external cleaners and maintenance (e.g. heat pump servicing, desk/chair repairs)
- Build a tidy, professional environment by encouraging staff to maintain clean work areas
- Work proactively and cost-effectively with external partners (finance, IT, payroll), taking initiative to spot issues, solve problems, and support the wider team without waiting to be asked
We're open to two kinds of people, someone with around 3+ years in admin or business support who's ready to grow into projects, finance and operations, or an experienced admin/office manager who loves variety and wants a dynamic role where their initiative and good judgement are genuinely valued.
Whichever category you fall into, you'll need to be:
- Highly organised, detail-oriented, and reliable.
- A natural problem solver who spots issues before they become problems.
- Someone who thrives on variety and enjoys juggling multiple priorities.
- Confident with systems and processes, ideally with experience using Xero and SharePoint.
- Calm under pressure you are unflappable, adaptable, and approachable.
- Are an NZ Citizen or Permanent Resident
