Project Assistant / Administrator

Location: New Plymouth, Taranaki

DIALOG Fitzroy Tower Services undertake maintenance and refurbishment services including blasting and painting works, and its associated activities on tower structures and substations for clients throughout New Zealand.

We're seeking for an organised and proactive Project Assistant / Administrator to support project and operational activities. Reporting to the Tower Services Operations Manager, this role provides essential administrative support and works closely with Tower Services and wider DFL teams when required.

This is a full-time permanent role based in New Plymouth.

Key Responsibilities:

  • Manage general administration tasks including project budget setup, job starter files, invoicing, forecasting, reporting, and purchase orders.
  • Support system improvements for tracking plant, equipment, hours, expenses, and supplier/vendor setup.
  • Order and monitor stock, materials, and services; maintain accurate inventory records and monthly stock takes.
  • Compile and submit customer reporting (QA, HSE, competency, metadata), manage QA document submissions, and assist with weekly cost controls.
  • Maintain clear communication with field crews, support documentation requirements, and escalate recurring issues.
  • Promote and uphold company Health, Safety, and Environmental standards, ensuring incidents and inductions are completed as required.

What We're Looking For:

  • Strong administrative capability with excellent attention to detail.
  • Confidence using systems such as D365 (or willingness to learn).
  • Ability to coordinate multiple tasks, support field teams, and maintain accurate records.
  • A proactive mindset with a focus on improving processes and supporting operational efficiency.
