Waimate District Council is seeking an Accounts Payable / Reception superstar to join the team. This is a hands-on role with great variety, where responsibilities range from processing invoices and reconciling payments through to welcoming customers, answering phone enquiries, and supporting colleagues across the organisation.

About the Role

The Accounts Payable / Reception position plays a key role in keeping both financial processes and front counter operations running smoothly. Working closely with the Accounts Receivable / Reception team member, the role supports the wider organisation to ensure day-to-day operations run efficiently.

This is a role that offers strong connection across Council, balancing accounts payable responsibilities with front-of-house support. It contributes to ensuring processes are accurate, organised, and effective, while also delivering a positive experience for customers and visitors.

The role also becomes a key point of support for MagiQ, Council's finance system. This includes assisting staff across the organisation to use the system confidently. From raising purchase orders and matching invoices through to following correct processes and providing practical, user-friendly guidance to support consistency and efficiency.

  • Reviewing and processing supplier invoices, ensuring correct coding and accuracy
  • Managing accounts payable processes, including reconciliations and timely payments (including urgent or off-cycle payments when required)
  • Supporting day-to-day reception functions, including welcoming customers and answering phone enquiries
  • Providing front-line customer service and handling enquiries in a professional and helpful manner
  • Working collaboratively with the wider team to support smooth office operations and a positive customer experience

What You'll Bring

The ideal candidate will enjoy working with both people and numbers, and be equally comfortable engaging with customers as they are ensuring financial accuracy. They'll bring a calm, friendly approach, enjoy variety, and be able to switch between tasks while maintaining a high level of organisation and attention to detail.

  • Strong confidence working with systems and technology, with the ability to learn new tools and support others to use them effectively
  • An interest in or experience with accounting or financial processes, with a focus on accuracy and attention to detail
  • A friendly, welcoming manner and strong customer service skills
  • The ability to remain calm, professional, and respectful when handling challenging situations
  • Strong organisational skills and the ability to manage competing priorities
  • A practical, reliable attitude and willingness to contribute as part of a team
